Seamless Data Integration for Car Washes

Our Integrations:

We have successfully integrated three prominent Car Wash POS systems with Intacct for approximately ten different clients:

2. DRB Patheon

Integration Highlights

• Error Notifications: Our integration sends nightly emails detailing any errors and successful data creations, allowing clients to promptly address any issues.
• Automation: The integration eliminates manual data import, running automatically each night, with the option for manual execution as needed.
• Resource Efficiency: The integration is resource-light, capable of running on virtually any machine, or we can host it through our subscription plan.
• Accuracy: We ensure that data ties out to the GSR reports, maintaining precision down to the penny.

Integration Process

While each integration is tailored to meet specific customer needs, the fundamental concept remains consistent. We perform nightly queries on the POS systems to retrieve transaction data, which is then pushed into Intacct as Order Entry records to track financials. Additionally, we create statistical journal entries to monitor car counts.

Data Mapping Solutions

One common challenge is the mismatch between items and locations in Intacct and the POS systems. To address this, we have developed several methods to map the data effectively. If the POS system permits, Intacct item and location information can be directly inserted into a field within the POS system, eliminating the need for a mapping file.

Overcoming Challenges with DRB Patheon API

Our expertise extends to handling both simple and complex APIs. Here are some challenges we successfully navigated with the DRB Patheon API:

• Data Volume: The API returns substantial amounts of data, so we employed asynchronous API calls to expedite the integration process.
• Data Grouping: The API results data did not align with the General Sales Report (GSR), necessitating grouping by item category and applying various filters to accurately calculate credits and debits.
• Time Zones: With POS systems operating in different time zones, understanding UTC time and determining the UTC offset was crucial to ensure no transactional data was overlooked.

Not only have we mastered some of the most complex POS systems, but we've also cultivated strong relationships with their technical teams. This collaboration ensures smooth integration processes and ongoing support.
