By default, Sage X3 does not support integration with ShipStation. However, RKL has developed an integration that is available for purchase. Because ShipStation is a subscription-based service that must be implemented, the following tips are intended for those who are currently using ShipStation or are considering the RKL integration.
Using RKL's ShipStation integration with Sage X3 enables organizations to automate shipment processing and tracking updates. Careful setup of parameters and carrier mappings ensures deliveries are transmitted correctly and align with operational procedures. This overview highlights the primary configuration steps and ongoing usage tips for optimal performance.
Basic settings are found at Sales > Utilities > ShipStation Parameters.
The logging level option determines how much detail will show in the lines of the log for each delivery sent. The log is located at Sales > Utilities > ShipStation Log.
With the “Send even if carrier isn’t mapped” checkbox ON, the system will automatically send all deliveries to ShipStation. With that checkbox OFF, it only send deliveries that have a carrier with a mapped ShipStation carrier (the mapping process is described below).
With the “Block validation w/o tracking number” checkbox ON, the system will not allow validation of deliveries if the tracking number isn’t in ShipStation. Uncheck this to allow validation even if the tracking number isn’t in ShipStation. In this case, the tracking number will still be retrieved later.
To specify which carriers / delivery modes in Sage X3 are which carriers / services in ShipStation, use the Carriers function at Sales > Utilities > ShipStation Carriers.
Set the “X3 Carrier” field to match the ShipStation with a carrier in Sage X3.
Set the “Delivery mode” column to match the service in ShipStation with a delivery mode in Sage X3.
In the above example, a Sage X3 delivery with carrier “UPS” and delivery mode “GRD” will show up in ShipStation with the carrier “UPS by ShipStation” and service “UPS Ground”.
If the information in ShipStation ever changes, you can click the “Sync” button to update the list all of Carriers and Services from ShipStation. This won’t change any of the settings.
Deliveries will automatically be sent to ShipStation as they are created. The “Send to ShipStation” button in the deliveries screen also can be used to send deliveries to ShipStation. This will update the delivery if it already exists in ShipStation.
Remember that the “Send even if carrier isn’t mapped” checkbox will determine if the carrier is required to be mapped or not for automatic sending. The button “Send to ShipStation” does not consider this setting, and will send the delivery when clicked regardless of the checkbox.
If an error occurs, the log can be checked, and the delivery can be manually re-sent using the button.
You can check the log at Sales > Utilities > ShipStation Log. Here, each delivery that has been sent will be listed, with logged events in the Messages section.
If the “Block validation w/o tracking number” checkbox is checked, deliveries that have been sent to ShipStation cannot be validated until it has a tracking number in ShipStation.
