Are you spending your day clicking on “Turn off enhanced list”?
If so, it’s time to learn about the features of Enhanced Lists, including:
Here are the details of some beneficial features of Enhanced Lists!
Let’s learn how to utilize these features:
Either create a New view, Edit your view, or Save as a new view.
In the General Section, specify a View name, which is required, and then define your columns.
You can use the plus
In the Columns section, change the order of the columns by grabbing the handle
In the Text wrapping column, indicate whether the text should be chopped off (clipped) or wrapped when the text exceeds the column list.
We can save our changes any time, but let’s continue making changes.
In traditional lists, when we scroll across the screen to see data on the right, the left-most columns disappear. With Enhanced Lists, we can freeze a column to always keep specific columns in view as we scroll across the screen.
On the right side of our window, use the slide bar to move down through the list of columns.
At the bottom of the columns, specify the number of Fixed Columns.
Now let’s look at Advanced Filters
In traditional views, I love using the % as a wildcard when searching for data in a column.
Now with the Enhanced Lists, I have even more flexibility!
If we keep scrolling down using the scrollbar on the right side of the screen, we’ll get to Filters.
At the top of the section, checking the Include entity records functions like Include Private did in the old view. If you check this box, you can also check the Show entity column.
Next we can include multiple filters to limit the records we are seeing with the Enhanced View.
For each filtering line, we specify a Field, an Operator, and a Value.
We can use the
All lines are either joined by And or Or.
In the above example, we are filtering to show Active Customers and excluding One-time Customers.
Below the Filter section is the Sort section:
Select the column we want to sort by, and whether we are sorting in Ascending or Descending order.
Notice the
Now scroll down to the last section – the Shared section. If you want everyone who has permission to use this view, select Public, and then click Save:
Now let’s see the results!
Let’s make some additional changes right on the screen!
Adjust column widths - To make a column wider, such as the Customer Name column, position the cursor on the right side border of the column and drag the border right to expand the column.
To make a column narrower, drag the column border to the left.
Move Columns – just drag and drop a column header to move if from its current position.
Sort, Freeze, or Wrap Text in a column - select
Navigating within a List - At the bottom of the list, within the navigation bar, we can easily change the number of rows shown in a list, move to a particular page of the list (First, Previous, Page, Next, and Last), and can see the total number of items in the list.
Sorting and Filtering on the Enhanced Lists screen.
We can still click on Column Headings to sort our lists, but we can now use the Advanced Filters to narrow down our data. Advanced Filters can be applied to multiple columns in the list.
Again we can Filter Fields based on a variety of conditions:
In the following example, we are filtering for customers where the State contains OR:
When we leave our Enhanced View and return later, the system remembers the Filters that we last used.
We can easily remove our customizations by clicking on Revert changes:
An icon at the top right-side of the screen
On the left we will see the List, and on the right, we will see the details of a specific record in the list. In the example below, when we split the screen, we are seeing the details of the customer record. We can even edit the record from here.
Have you ever needed to update several records at once?
Perhaps you want to delete multiple unused GL accounts all at once. Or maybe you want to update the Vendor Payment Terms for a group of vendors. Let’s examine how this works!
Before Enhanced Lists, when looking at our GL Accounts, we could delete one account at a time by clicking on Delete on the right side of the screen.
Once we turn on the Enhanced List, we can select multiple Accounts, and then Delete them all at once..
First click on the checkboxes on the left next to the Account numbers, and press Delete.
Of course, in either View, deleting accounts will only be possible if we have appropriate permissions and the Accounts haven’t been utilized.
In Projects, we can use Bulk Actions to update Project Fields.
Perhaps we want to change the status of several jobs from Backlog to Active.
With the Enhanced List, we check the boxes on the left for the jobs we want to update, and
then select Update fields:
The following window opens, and shows us the fields that we can update – Project category, Project Type, Start Date, etc. For our example, we will select the Project status from the dropdown list and then click Save.
When using the Enhanced View, we can also select multiple Draft AP Bills or AR Invoices and can post up to 20 at once:
I’m still a creature of habit, and at times I want to revert to the view I’m most familiar with.
At any point I can still click on the
To Summarize, Enhanced Views provide us with enhanced column formatting and filtering, split screens (so we can work from a list and see record details simultaneously), and new Bulk Actions to update multiple records at once. These options really can help us work more effectively!
