How to Set Up Matching Rules in Sage Intacct

Matching rules compare bank-feed activity with transactions already recorded in Intacct. A matching rule can use filters, grouping options and matching conditions to identify related activity.

Choose the Matching Filters

Selecting the right transaction matching filters is essential for accurate and efficient bank reconciliation in Sage Intacct. Depending on the transaction, useful filters may include transaction type, description, document number, and posting date. Compare the transaction details received from the bank with the information recorded in Sage Intacct to identify which filters are consistent and reliable. Using specific filters can reduce incorrect matches and minimize the need for manual review.

Select the Matching Conditions

Matching conditions determine how Sage Intacct compares bank activity with transactions recorded in the system. Common conditions include matching amounts, document numbers, or posting dates. A rule may also allow the bank posting date to fall within a specified number of days of the Sage Intacct posting date. This date-range option is helpful when processing delays cause the bank transaction date to differ from the date recorded in Intacct.

Group Transactions When Needed

Transaction grouping helps reconcile activity when bank transactions and Sage Intacct records do not have a one-to-one relationship. Use the Group by Intacct transactions option when several transactions recorded in Intacct correspond to one lump-sum bank transaction. Use the Group by bank transactions option when multiple bank payments correspond to a single transaction recorded in Intacct. Choosing the appropriate grouping method helps ensure that related amounts are evaluated together.

Payroll ACH Payment Matching Rules

Payroll may be recorded as multiple transactions in Sage Intacct, but may appear as a single lump-sum ACH withdrawal on the bank statement. A payroll ACH matching rule can use reliable criteria such as transaction type, description, document number, posting date, and amount. When appropriate, group transactions by the Intacct posting date so the combined payroll records can be compared with the corresponding bank activity.

Customer Deposit Matching Rules

Customer deposit document numbers may not always be consistent between the bank and Sage Intacct, making them less reliable for automated matching. If users can control the deposit date, a general customer deposit rule can filter for credit transactions, match transactions by amount, and compare posting dates within an appropriate number of days. Allowing a reasonable date range can accommodate timing differences while maintaining accurate matches.

Vendor and Employee Payment Matching Rules

The date a vendor or employee deposits a payment is generally outside the organization’s control, so posting dates may not be dependable matching criteria. For vendor and employee payment rules, filter for debit transactions and match the bank activity to Sage Intacct using the payment amount and document number. These criteria can provide a more reliable match when the bank date differs from the date recorded in Intacct.
