Managing stock locations and location types in Sage X3 involves a series of important steps to ensure accurate inventory tracking and efficient warehouse operations. By properly configuring these settings, businesses can optimize their stock management processes and maintain precise control over inventory movements. This guide outlines the key actions required to set up and manage stock locations and location types within Sage X3.
Steps to Manage Stock Locations
Step 1: Define location Types
- Location Types are used to group locations with similar characteristics such as dimensions, storage constraints, authorized statuses, etc., within a site/warehouse
- You can setup various workshop locations, quality control locations, and/or stock locations
Navigate to Common Data > Product Tables > Location Types
- Enter the Stock Site
- Each site entered can have an unlimited number of location types
- Enter a Location Type
- Location Type Examples:
- Receiving = REC
- Storage = STO
- Return = RET
- Picking = PIC
- Bulk = BLK
- Production Floor = PROD
- Enter a Description
- Enter a Short Description
step 2: Create Location Categories
- Each Location Type needs to be assigned a Location Category. This will determine the type of location and the statuses accepted within that location.
- The following represent Location Categories:
- Dock – awaiting storage (used to carry out receipt to a dock without entering a lot, sub-lot or serial number.
- Customer – Used to manage BP locations for a loan of goods to a specific BP
- Subcontract – Used to manage products at a subcontracting location
- Single Product – Can only be used to accept one product at a time
- Dedicated – Used to manage fix storage locations. Locations are assigned to products using the "Assign Locn" Button and products can be attached to one or more storage location
- Replenish – Used with the replenishment workbench and is to be refilled using the bin/location replenishment tasks. Typically used to keep pick bins full for shipments
- Capacity Managed – Rack/Bin/Tote, etc, location that doesn’t exceed the maximum quantity defined by the Unit of Measure Section in Location Types. When the location’s capacity is reached, X3 will change the location to ‘Occupied’ and subsequent stock receipts to that location will be restricted. X3 will generate a message when attempting to receive additional stock to an ‘Occupied’ location. Once stock is issued and the location is emptied, it will have a status of ‘Free’
Authorized Statuses:
- Used to indicate what statuses can be used when transactions are processed against the locations that are created. If an item does not have a status defined, a message will be displayed. A defined format must be setup for these location Types
- A = Accepted
- Q = Quality Control
- R = Rejected
- * = Wildcard which can be used to indicate all status beginning with A*, Q*, R*
step 3: Location Formats
- The location format field identifies the format used when creating locations within the selected location type. The format can vary based on the type of location represented
- Each letter is optional but can be repeated to respect the alphabetical order
- Letter A = Warehouse/warehouse Zone
- Letter B = Aisle Location
- Letter C = Bay Location
- Letter D = Shelf Location
- Letter E = Sub Shelf 1 Location
- Letter F = Sub Shelf 2 Location
- Letter G = Sub Shelf 3 Location
- Example:
- The zone has 5 aisles (A-E), each aisle has 10 pallet positions with a rack that allows stacking pallets 3 high.
- 4 Shelves (1 on the floor & 3 on the rack) labeled R1 thru R4
- Location Format = AABBCCDD
- Location would look like = 99E07R3
- Zone = 99
- Aisle = E
- Bay = 07
- Shelf = R3
- This is used during location creation and can be carried out in mass between two location ranges
- The Location Format field is not available if Customer and/or Sub-Contract is selected
- The format for the location is set to 10 characters
- Locations for this type must be created one at a time as needed and cannot be created in mass
Proposal Sequence:
- The Proposal Sequence is used to assign the free locations on stock receipts in an order other than the alphanumeric format of the location; specifically, where the storage method is Dynamic.
- Dynamic Storage – also known as random location warehousing. This allows items to be placed in any available space within the warehouse based on real-time factors like demand and availability.
- Example: If the filling criteria gives the priority to storage at the lowest level, the priority sequence can be AAAEBFF for a location format AAABEFF; where the locations are proposed as Warehouse = AAA; Level = E; Zone = B; Rack = FF
Alternate Types:
- Is only available if Capacity Managed is selected. During receipt of the stock, X3 reads the location type in the product-site record to find free locations. If there are no free locations, it searches other location types based on the entries input in Alternate Types.
Statistics Tab:
- Only available if Capacity Managed is selected. During receipt of the stock, X3 reads the location type in the product-site record to find free locations. If there are no free locations, it searches other location types based on the entries input in Alternate Types.
Note:
- There is a Misc Tab, but it is only available if RF (radio frequency) Warehousing has been purchased. RF Warehousing is one of 2 options in ADC, which is bar-coding and scanning. If purchased, this section will need to be completed.
Step 4: Create Locations
- After creating Location Types, locations can be created for each type
- Select the Location Type from the Left List
- Click on the "Create Location" Button
- The storage site and location type will default from the Location Type setup
- If locations have already been created, they will appear in the fields:
- Smaller Number – Larger Number
- The Location Category and Location Format will also default from the Location Type Setup
- Enter From Location To Location
- Example:
- From location = ST011
- To location = STO20
- Click "Save"
- A Warning Pop-up Box will appear that shows the number of locations that will be created
- Click on the "Inquiry" Button to view locations that have been created and/or to see if they are empty or occupied.
- Locations can be deleted by selecting the "Delete" Option from the Action Icon
- Enter the From Location and To Location
- Click "Save"
Note:
A location that contains stock cannot be deleted.
