The problem
Many small businesses find themselves on legacy systems or a combination of systems. This particular client had been on Real World Passport and QuickBooks for over 20 years. They couldn’t process daily tasks in an efficient manner. They were using QuickBooks a financial processing tool, which left them with minimal system integrations and limited reporting. The client was wasting countless hours looking up and matching invoices and PO’s by hand, sometimes even missing manufacturing build items. Reconciling and verifying data as very time consuming.
Finding the right solution
We worked with the client to identify and document their current business infrastructure, what they do not like about the current system, and requirements of a future system. Through this process we were able to find the best fit solution for them. With Sage 100 we streamlined their workflow allowing them to readily find information in the system.
The result
Previous tasks such as emailing customers, looking up PO’s, matching invoices were daunting tasks. RKL eSolutions was able to set up Drill Down, Drill Around functionality in Sage 100. Giving the client the ability to find data more easily. Sage 100 also replaced their manual Excel quoting process. Now they can customize quotes, PO’s, and invoices for their clients. This capability gave them more flexibility with customers, including international ones. Now they can modify quotes and invoices as they need.
By implementing Sage 100, the client was able to simplify other processes such as checking in on orders, allowing purchasing upstairs to review without bothering the manufacturing floor staff, saving time and errors by not hunting for files. Working closely with the client, we were able to map out requirements and establish workflows that have resulted in a more united, happier work environment while saving time, money.
