Sage 300 Construction and Real Estate's latest release, version 25.1, features several enhancements and updates, including the general database. These changes can impact custom report designs and third-party applications, making it crucial for users to stay informed and prepared. Enhancements include viewing new fields, marking GL accounts as "inactive," generating reports for specific banks and bank IDs, and more.

Viewing New Fields

To accommodate these changes, users can view fields contained in new records through:

  • Report Designer: Access the Available Fields report by navigating to Tools > Available Fields.
  • Crystal Reports Designer: Open an existing report, specify the data source location, add new or modified records, and view fields through Field Explorer. For detailed procedures, refer to the Crystal Reports chapter of the User's Guide.

General Ledger Enhancements

One of the notable updates in version 25.1 is the ability to mark General Ledger accounts as inactive. Users can now mark General Ledger accounts, base accounts, and prefixes as inactive, which helps streamline workflows by removing inactive accounts from selection lists.

This feature helps streamline workflows by removing inactive accounts from selection lists, reducing the risk of erroneous transactions. Users can mark accounts, base accounts, and prefixes as inactive by selecting the Inactive check box in the respective account setup window.

Exporting Inquiries to Excel

The default file type for exporting inquiries to Excel has been updated to .xlsx, addressing previous issues with the .xls format. This enhancement ensures smoother data handling and compatibility with modern Excel versions.

Accounts Payable Improvements

Several improvements have been made in Accounts Payable, including:

  • Electronic Payment Notification Reports: Users can now generate reports for specific bank IDs or all banks, sorted by Bank ID.
    • In Accounts Payable, select Reports > Forms > Elec Payment Notifications, enter the required Bank ID in the Enter Bank ID or leave blank for all and select [Print Preview].
  • Updated Rejection Messages: Import rejection messages now accurately reflect the status of jobs, extras, and cost codes, reducing confusion during troubleshooting.

Work-In-Progress report (excludes Paid in full contracts):

Previously, the CN Contract Schedule of Work-In-Progress report included contracts with a status of Paid in full, even though the option to Include Close Contracts was not selected. The Work-In-Progress report now excludes paid-in-full contracts. To select this option, navigate to Contracts and select Reports > Work In Progress > Contract Schedule of WIP.

Job Cost reporting:

The formula that returns the Billed to Date in the Job Cost Profit report has been updated. Previously, the Job Cost Profit as of date report returned incorrect Billed to Date amount. To select this option, navigate to Job Cost and select Reports > Cost Control > Profit (as of date).

Property Management Adjustments

In Property Management, properties associated with inactive General Ledger prefixes are excluded from tasks like Generate Rent Roll and Generate Late Charges. This change prevents unnecessary charges for properties no longer under management.

Additional Enhancements

  • Crystal Reports Compatibility: Sage 300 Construction and Real Estate now supports Crystal Reports 2020 with a new 64-bit ODBC driver, enhancing report generation capabilities.
  • Service Management: Entries to closed General Ledger periods are now prevented, ensuring compliance with accounting practices.
